Managing emails

Start sending and receiving emails to mail box instantly. You can manage sending out emails to your Leads, Contacts, Organizations and Vendors from within Simply CRM. You can embed plain text, rich text, Images, HTML content, attachments etc. in your emails to delight your customers.

Setting up Outgoing Server


Configure Outgoing Server with SMTP (Simple Mail Transfer Protocol) settings of your email server to manage sending out emails from simply CRM.

Steps to configure your Outgoing Server

  1. Click gear icon Setting.png in the upper right
  2. Click CRM Settings
  3. Click Outgoing Server

Server Name Provide mail.yourdomain.com where yourdomain.com is the actual domain name. For isntance, gmail accepts ssl://smtp.gmail.com:465
User Name Enter your user name. For instance, support@simplyhq.com
Password Enter your password
From Email Emails will be sent from the email id you would specify in this field; else, emails will be sent via the email id of the current user
Requires Authentication Click on the check-box to enable authentication before sending an email.

Note

  1. By default, the outgoing server is configured with simply CRM settings. You can manage sending out emails with these settings. However, we will recommend you to configure Outgoing Server with your own SMTP settings.
  2. If you prefer to retain simply server as the outgoing server, we recommend you to configure your domain’s SPF record to include the simply server as a valid sender for your domain.

Sending Emails Manually

From List view

You can select your desired number of records from the list view and send emails to them right away. This will be helpful for sending emails in bulk.

Follow few simple steps to send emails to selected records in list view

1. Click on the check-box to select all the records on the current page. Automatically, a link will be displayed to select all the records in existing module. For instance, if you have 250 records in your Contacts Module, a link that says Select all Contacts (250) will be displayed. If you would click on the link, all the 250 records will be selected.

2. Now click on Actions button > Send Email
3. Select from the available email field options
4. Compose email manually or populate from email templates
5. Click Send

From Detail view

This will help you send email to individual record

Follow few simple steps to send emails to selected record in detail view

  1. Click on selected record
  2. In the detail view of the record, click on Send Email button
  3. Select from the available email field options
  4. Compose email manually or populate from email templates
  5. Click Send

Mailchimp Integration

simply CRM users can now synchronize campaigns with Mailchimp to run advanced email marketing campaigns.

Follow few simple steps to install Mailchimp plugin in simply CRM

  1. Click Settings Icon > CRM Settings
  2. Click Module Manager
  3. Click Custom Modules tab
  4. Click Import / Upgrade button
  5. Find the Mailchimp extension and click Install button

After successful installation, you can locate Mailchimp under Other Settings Block in CRM Settings. You will have to have a Mailchimp account to synchronize your email campaigns from simply to Mailchimp and vice versa.

Generate API key


API key acts as a bridge to establish a connection between simply CRM and Mailchimp. Generate API key from Mailchimp account and copy it to your simply CRM account (Settings Icon > CRM Settings > Mailchimp)

Synchronize Contacts / Lists and Campaigns


You can synchronize your simply CRM Contacts and Campaigns with Mailchimp. Contacts will be synchronized as Lists in Mailchimp, and vice versa. You can only synchronize Campaigns from simply to Mailchimp but not the other way around, contrarily.

Follow few simple steps to synchronize your Lists / Contacts

  1. Click on any existing Campaign or Create a new Campaign
  2. In the detail view, click on Enable Sync check-box and select desired List name
  3. Click Save now button
  4. Click Synchronize now button

After successful synchronization, success message will be displayed along with the last updated time. The status of the contacts will also be updated automatically.

Contacted- Never Contact Again This status will be set if contact has unsubscribed himself/herself from emailing list
Contacted-Successful This status will be set if contact has subscibed
Contacted-unsuccessful This status will be set if email was bounced

If you would synchronize the Lists to which emails had been sent earlier, the emails will also be attached along with the contact record in simply CRM. You can find those emails in Email section of contact detail view.
