Importing Picklist Values
As you know, picklist field is a field that has a list of values within which you are allowed to select one value. It’s easy to select a picklist value while creating a record manually — you click on the picklist dropdown and select appropriate value. However, a set of people think that mapping picklist values to their corresponding records while importing is a big deal. Do you know what it takes to map picklist values to corresponding records? You just have to use same picklist values as in Picklist Field in your Simply CRM.
Here’s an example:
I am importing leads and Lead Source is my picklist field. I have different values in Lead Source field namely: Cold Call, Word of Mouth, Trade Show and Direct Mail.
From the image below, picklist values in .csv file are in accordance with picklist values in Simply CRM. Mapping also supports custom picklist values.
In the step-4 of import process, you’ll need to map your .csv header with actual field in Simply CRM.
This is how records are displayed after the import. If your .csv file has a null(empty) value, no value is displayed in the corresponding picklist field. Null values are also displayed if your picklist values have a typo and do not match with values in your Simply CRM.
If picklist field is mandatory, the empty values are replaced with ????, because having a value is compulsory for the record to be created in Simply CRM.
To overcome the problem with null values, we suggest you to provide default value for the picklist field while mapping; as a result, all null values will be replaced with default value after the import.
Notes!
Double check your .csv file and make sure it doesn’t have typos. If contact or organization name is not matched, Simply creates a new record and associates opportunity record with it.
Importing Contacts
Unlike Opportunities, you need not have to follow any syntax to relate your Contacts to existing Organizations. While importing contacts, should Organization name match with existing organization record in Organizations module, contact is automatically related to it. Simply CRM does spell check all across existing Organization records to avoid redundant data. It’s not case sensitive either.
