I am going to send a thank you note to leads that are generated through websites.
1. Select Leads in Select Module and my condition will be Only on the first save, because thank you note to existing customers doesn’t make any sense.
2. Click Next
3. The idea is to send emails exclusively to leads that are generated through Webform. So, my condition is Lead Source is Web Site
4. Click Next
5. Click on Add Task button and select Send Mail. Provide Task Title; this is just for your reference. Status should be set Active. If you do not want this workflow to send emails anymore, you can make status In Active. In the To field, you can either select email variables from the dropdown next to it, or provide emails manually. My intention is to send emails to new customers. I will select Email from the dropdown. And then, you can provide Subject which is actual subject of the email, and compose email body.
Simply CRM gives you the flexibility to select field variables which are displayed as field values when email is sent. For instance, the field variable $firstname will display actual name populated from First Name field of the record.
6. Click Save
7. Finally, click Finish as you complete the process of creating the workflow
Execute Task
Basically, workflow tasks send email within 15 mins after the conditions are met. However, you can also configure your workflow to send email for you in desired time in future.
Here’s how to do it
- In the Send Email task, click on Execute Task check-box
- Provide the number of days after which the email should be triggered
- Select After from the second dropdown
- From the third dropdown, select Created Time or Modified Time. Your workflow is triggered depending upon the values in Created Time or Modified Time fields of the records in your Simply CRM
